How to Track Your Brand Outreach So Nothing Falls Through the Cracks

Xtopher, April 9, 2026April 10, 2026

Most creators are tracking brand conversations in their head.

Or worse…

Scattered across:

  • DMs
  • emails
  • notes app

That’s how deals get lost.

Follow-ups get missed.

Opportunities disappear.

You don’t need anything complicated

You don’t need software.

You don’t need a CRM.

You just need a system you’ll actually use.

The simplest system that works

Open Google Sheets.

Create a new spreadsheet.

Name it:

👉 Brand Outreach Tracker

Now create these columns:

Brand Name
Contact Name
Contact Email
Date First Reached Out
What I Offered
What They Offered
Status
Follow Up Date
Notes

That’s it.

What each column means

Status

This shows where things stand.

Use simple labels:

  • Waiting for response
  • Negotiating
  • Deal agreed
  • Content delivered
  • Payment received
  • Closed (no deal)

Follow Up Date

This is critical.

Set a real date to follow up.

Use the rule:

👉 5 to 7 business days

Then check it daily.

Notes

Anything important:

  • tone of conversation
  • specific requests
  • red flags
  • preferences

This saves you later.

How to use it daily

Keep it simple.

When you reach out:

👉 Add the brand immediately

When they respond:

👉 Update status

👉 Set a follow-up date

Then every morning:

👉 Open the tracker
👉 Follow up with anyone due

That’s it.

Five minutes a day.

Nothing falls through the cracks.

Your one action from this post

Open Google Sheets right now.

Create your Brand Outreach Tracker.

Then add every brand you’re currently talking to.

Do not wait.
